1. General provisions

This document outlines the rules for collecting, processing, and protecting the personal data of users of the Train-Me platform, operated by Train-Me LLC based in Dover (8 The Green #24478 Dover, DE 19901, USA). Using the service means accepting the rules described in this Privacy Policy. Our goal is to provide full transparency regarding the principles of data processing and to ensure the security of information entrusted to us by users.

2. Scope of information collected

Users visiting the Train-Me platform remain anonymous unless they choose otherwise. Technical data from system logs (such as IP address, browser type, connection time, etc.) is used only for technical and administrative purposes (e.g., server management or traffic analysis). IP addresses may also be used to create anonymous, aggregate demographic statistics (e.g., determining the region from which the connection originated). Registration requires providing contact information (e.g., e-mail address) and some demographic data (e.g., gender). This data is used to maintain communication with the user and personalize the content displayed on the platform.

3. Cookies

3.1. Use of cookies

The Train-Me platform uses cookies (small text files stored on the user’s device) that enable the proper functioning of the service and adaptation of its operation to user preferences. The content of cookies does not allow identification of a person, and the data stored in them is not considered personal data.
  • maintaining an active user session (after logging in),
  • adjusting the content of the platform to individual needs,
  • creating viewership statistics that help improve the service.

3.2. Types of cookies

The Train-Me system may use the following types of cookies:
  • session – automatically deleted after the browser session ends,
  • persistent – stored on the device for a specified time,
  • first-party – created by the Train-Me system,
  • third-party – originating from services such as Google Analytics or Facebook.

3.3. Managing cookies

The user may change browser settings at any time to block or delete cookies. Instructions for managing cookies are available at: Disabling cookies may limit the functionality of certain elements of the platform, such as logging in or viewing photos.

4. Data protection and information security

Registration forms and the login process on the Train-Me platform use encrypted connections to ensure a high level of data transmission security. User passwords are secured with one-way cryptographic algorithms that prevent decryption. All data is stored on servers secured in accordance with Polish and EU law (GDPR).

5. Sharing personal data

The Train-Me platform allows users to publish content (e.g., reviews or comments), which becomes publicly available once posted. The decision to publish and how the entry is signed lies solely with the user. Personal data is not shared with third parties unless the user gives explicit consent or the law requires it.

6. Access, correction and deletion of data

Each user has access to their profile after logging in. From the account panel, users can view, update, or delete their personal data. In case of issues, users may contact the data administrator via email or in writing at the company’s address.

7. Right to choose and voluntary data provision

Using the Train-Me platform is voluntary. Most features are available without registration. Registration and providing personal data are required only for selected functionalities, and users may delete their accounts at any time.

Appendix No. 1 – Legal grounds and purposes of personal data processing by Train-Me LLC

1. Personal data controller The controller of personal data of coaches who are natural persons is Train-Me LLC, based in Dover, 8 The Green #24478 Dover, DE 19901, USA. The information obligation referred to in Article 13 of the GDPR is fulfilled for coaches at the time of account registration. The content of the information clause is provided below in this appendix.
2. Scope of responsibility for personal data Train-Me and individual coaches are separate controllers of the data of their clients (students). Each party processes personal data for its own purposes and on its own responsibility. If a student books a coach’s services through the application:
  • a service agreement is concluded between the student and the coach,
  • the student may give the coach additional consents (e.g., for marketing purposes),
  • Train-Me provides the coach with the student’s data necessary to perform the service.
From the moment the coach gains access to the student’s data, the coach becomes the controller and is responsible for lawful processing under the GDPR.
3. Data processing entrustment If providing services by Train-Me to the coach requires processing personal data of students, coaches, or collaborators (employees, contractors), the parties conclude a data processing agreement. The conclusion of this agreement is a condition for using application features that require access to personal data. Terminating the agreement results in automatic termination of services requiring data processing.
4. Rules for data processing by Train-Me Train-Me processes coaches’ and students’ data only to the extent necessary to:
  • ensure the correct operation of the application,
  • fulfill the agreement concluded with the coach,
  • provide technical, marketing, and analytical services.
Train-Me is not responsible for student data collected independently by the coach outside the application (e.g., during in-person sessions). If a coach enters student data into the system that was obtained outside the application, the coach remains the data controller, and Train-Me processes it only on the coach’s behalf under the processing agreement.
5. Purposes and legal bases for processing coach data
  • Performance of the agreement for using the Train-Me service – Art. 6(1)(b) GDPR.
  • Marketing of Train-Me products and services (indirect) – legitimate interest (Art. 6(1)(f) GDPR).
  • Direct marketing – promotion of own services through coach contact (Art. 6(1)(f) GDPR).
  • Profiling and segmentation – tailoring services and marketing content (Art. 6(1)(f) GDPR).
  • User satisfaction and needs surveys – e.g., questionnaires, emails (Art. 6(1)(f) GDPR).
  • Establishing, pursuing or defending claims – legitimate interest (Art. 6(1)(f) GDPR).
  • Compliance with legal obligations (Art. 6(1)(c) GDPR).
  • Creating analyses and statistics – internal needs (Art. 6(1)(f) GDPR).
  • Development and maintenance of the IT system – ensuring application security and functionality (Art. 6(1)(f) GDPR).
  • Contacting the coach – responding to inquiries (Art. 6(1)(f) GDPR).
6. Profiling Train-Me may perform profiling of users (students and coaches) to better tailor services, recommendations, reminders, and marketing communication. Profiling is based on data such as: application activity, location, gender, frequency of use, preferences, interactions (e.g., likes). Profiling does not involve automated decision-making that produces legal effects. Users may object at any time by contacting us at: info@train-me.app or +1 302 202 6911.
7. Categories of data recipients Personal data may be shared only with authorized entities, such as: Train-Me LLC; entities providing accounting, IT, legal, marketing, debt recovery, and analytical services; public authorities authorized by law; partners and subcontractors cooperating with Train-Me. All processors are required to maintain confidentiality and follow GDPR requirements.
8. Data transfer outside the EEA Train-Me does not transfer personal data outside the European Economic Area (EEA). If such transfer becomes necessary, it would occur only under appropriate legal safeguards according to Art. 46 GDPR.
9. Data retention period coach data is processed for:
  • the duration of the agreement and until its termination,
  • until claims arising from the agreement become time-barred,
  • until objection to marketing purposes is raised,
  • for the legally required accounting/tax period.
10. Rights of data subjects Under GDPR, every user has the right to: access and obtain a copy of their data; rectify or complete data; delete data (“right to be forgotten”); restrict processing; transfer data; object to processing; file a complaint with the President of the Data Protection Office (UODO). 11. Withdrawal of consent Users may withdraw consent to personal data processing at any time. Withdrawal does not affect prior lawful processing.
12. Objection to data processing Users may object at any time if processing is based on the controller’s legitimate interest. For objections to direct marketing – processing stops immediately.
13. Deleting the account and personal data Users may request data deletion by emailing: info@train-me.app. In the iOS app: “Settings” → “Delete account” → “Send request”. The process permanently removes the data from the Train-Me system.
14. Voluntary data provision Providing data is voluntary but required to conclude and perform the agreement for using the platform. Without providing data, registration and some features are unavailable. Data may be verified or updated at any time in “My Profile”.
